The Administrative Assistant supports the HR Department by maintaining manual and electronic records management systems and ensuring timely, high-quality service delivery to all stakeholders.
Job Purpose:
Reporting to the Manager, Human Resource Management and Development, the Administrative Assistant is responsible for providing full administrative support to the core functions of HR Department, including, but not limited to updating and maintaining the manual records management system and the electronic Human Resource Management and Information System as well as ensuring the timely delivery of quality services to all stakeholders.
Responsibilities:
- Provides administrative support for recruitment, training, employee engagement and other functions of the HR Department, and in general to the Manager.
- Computes employee leave applications and assists in the monitoring of the leave tracking system using Microsoft Excel.
- Maintains the HRMIS system.
- Manages the time and attendance log on a daily basis.
- Files documents; sorts and dispatches mails and correspondences in a timely manner.
- Performs relevant document processing for company's benefits programmes.
- Records minutes of department meetings and any other meeting assigned by the Manager.
- Performs switchboard/receptionist relief duties as required and agreed to by the Manager.
QUALIFICATIONS, EXPERIENCE AND KEY COMPETENCIES
- Five (5) CXC/CSEC subjects including English Language and Mathematics or Accounts
- Training in Microsoft Office applications
- Experience in records management and administration
- One (1) years'experience in a similar capacity
- Excellent written and oral communication skills
