Job Profile: Facilities Coordinator – Third Party Contractor

 

 

Primary objective of the job: 

  • Create a welcoming atmosphere while efficiently managing front desk operations and providing seamless administrative support to the Facilities Team.

 

 

Main Duties and Responsibilities:

  • Generating Purchase Orders in Workday for goods and services and following up-with the   Finance department to ensure that payments are made for each job.
  • Receipt all invoices and ensure payment are made in a timely manner to prevent late payment charges and penalties
  • Support the Facilities Administrator with team engagement activities to foster team cohesion
  • Managing internal & external relationships, through keeping the communication lines open and providing timely updates on their PO, invoice and payment status.
  • Greet visitors in a professional and friendly manner, direct phone calls, take messages, and distribute mails
  • Support the Auxiliary Team by managing stock and the distribution of consumables weekly

 

Academic qualifications and experience required:

  • Certificate in Business Administration or related field of study.
  • Minimum of one (1) years professional experience in a similar capacity and field. 

 

 

Functional Skills:

  • Excellent oral and written communication skills.
  • Strong customer orientation.
  • Excellent working knowledge of Microsoft Office (Excel, Word and PowerPoint)
  • Ability to effectively manage professional relationships both internally and externally
