The Executive Assistant (EA) provides high-level, confidential administrative support to a Senior Executive. You will act as the primary point of contact for internal and external stakeholders on all matters pertaining to the Office of Human Capital. The ideal candidate is a master of logistics who understands that in manufacturing, a "people strategy" is what keeps the wheels (and trucks) turning.
Key Responsibilities
· Strategic Calendar Management: Orchestrate a complex schedule that includes board meetings, labor union negotiations, site visits to manufacturing plants, and distribution center tours.
· Gatekeeping & Communication: Manage flow of information between the Senior Executive and various departments. You’ll handle sensitive HR data, executive compensation details, and organizational change documents with absolute discretion.
· Project Coordination: Track progress on high-level Human Capital initiatives (e.g., workforce automation strategies, culture shifts, or leadership development programs) and ensure deadlines are met.
· Presentation & Reporting: Prepare sophisticated slide decks and data visualizations for board meetings and executive committees. You’ll be translating "people metrics" into "business results."
· Logistics & Travel: Coordinate multi-site travel itineraries that may involve visiting remote factory locations, ensuring the CSO is briefed and prepared for the specific regional challenges of each site.
· Meeting Advocacy: Attend strategic meetings to take minutes, track action items, and follow up with "Human Capital" partners across the manufacturing and distribution network.
The Ideal Candidate Profile
· The Industry "Pro": You aren't rattled by the fast-paced, often gritty nature of manufacturing. You can speak the language of both the boardroom and the warehouse floor.
· The Vault: You handle confidential employee and strategy information like it’s state secrets.
· The Tech Specialist: Expert-level proficiency in Microsoft 365 (especially PowerPoint for those strategy decks) and HRIS platforms (like Workday, Oracle, or SAP).
Requirements
· Experience: 5+ years supporting C-Suite executives, preferably in Manufacturing, Logistics, or a large-scale HR environment.
· Education: Bachelor’s degree in Business Administration, HR, or a related field preferred.
· Skills: Exceptional writing, high Emotional Intelligence (EQ), and the ability to manage up.
