Role Overview

As Project Coordinator, you will serve as the operational backbone for active restoration projects — managing submittals, material procurement, payment applications, and lien waiver processes. You will work closely with a Chief Estimator and Operations Manager, interfacing regularly with vendors, engineers, architects, and field teams via Microsoft Teams calls. This is a technically driven coordination role supporting senior estimating and operations staff on facade, masonry, and waterproofing projects across a multi-state market.

Responsibilities
  • Manage product submittals and engineer approvals from initiation through sign-off.
  • Coordinate colour samples and field mockups with vendors, owners, and architects.
  • Place phased material orders against master vendor quotes aligned to field progress.
  • Prepare monthly AIA G702/G703 pay applications and track through to payment.
  • Build and manage a lien waiver process across owners, subcontractors, and suppliers.
  • Review incoming RFPs for specified products and flag unusual or non-standard requirements.
  • Grow into estimating support — takeoffs, vendor quotes, and bid package assembly.

Requirements

  • 5+ years in construction, with direct exposure to exterior restoration, masonry, concrete, or waterproofing.
  • Strong Excel skills; Bluebeam proficiency is a significant advantage.
  • Experience with technical submittals, colour approvals, and AIA pay applications.
  • Ability to read drawings and specifications, and correspond professionally with engineers and owners.
  • Active, demonstrated use of AI tools (ChatGPT, Claude, Copilot, or equivalent) in your current workflow.
  • Independent working style — you identify roadblocks and resolve them without waiting to be directed.
Good to Have
  • Experience with Knowify, Procore, or similar construction management platforms.
  • Exposure to concrete repair, coatings, waterproofing membranes, brick masonry, caulking, or window work.
  • Background in Construction Management, Engineering, or Architecture.
