The incumbent coordinates project meetings, prepares minutes and reports, manages payment processes, supports monitoring and evaluation, and assists with public education and reporting on project implementation progress to key stakeholders.
Job Purpose
Under the direction of the Temporary Manager- St. Thomas Destination Development Plan (STDDMP), the Temporary Administrative Officer will provide administrative support for the work being done to appraise, monitor and manage the tourism development project of the implementation of St. Thomas Destination Development Management Plan (STDDMP).
KEY RESPONSIBILITIES
- Sends meeting invitation to all members and attendees of the Project Steering/Coordinating Committees one and a half week before meeting.
- Requests submission for the minutes so that they can be delivered to the members and attendees no less than five (5) days prior to the meeting.
- Prepares minutes and action list for the Project Steering/Coordinating Committee.
- Prepares memos for payment for contractors/consultants and other external organizations and submit to the Finance Department.
- Maintains payment register for all projects showing allocation, invoice amounts and payments among other things.
- Prepares reports on results of Monitoring and Evaluation exercises.
- Assists with the organizing/participation in the public education/sensitization of project beneficiaries.
- Assists with the preparation of Briefs and submissions for the Ministry, Cabinet and Parliament relating to the progress of the project implementation.
- Assists with the monitoring and assessment framework for project implementation.
- Organizes and directs monitoring of Ministries, Departments and Agencies involved in the provision of implementation of the plan.
- Keeps abreast of current developments in the parish.
- Prepares reports on results on results of Monitoring and Evaluation exercises.
- Utilizes Monitoring and Evaluation findings to inform proposals for development/ and or revision of project initiatives.
- Prepares Briefs and submissions for the Ministry, Cabinet and Parliament relating to the progress of the project implementation.
- Any other related duties assigned.
KEY COMPETENCIES
- Good oral and written communication skill.
- Ability to be a team player.
- Proficient in computer programmes, e.g. Microsoft. Excel, Power Point and Access.
- Good typing skills.
- Good knowledge of the tourism sector.
DESIRED EDUCATION AND EXPERIENCE
- Diploma in Business Administration or equivalent.
- Certified Professional Secretary designation.
- At least Four (4) years’ experience in a similar capacity.

- Any equivalent Combination of Qualifications and Experience
