The incumbent will undertake conformity assessment processes in keeping with the Unit's mandate and manage certification programmes assigned.

 

Major Duties and Responsibilities:

Manages, coordinates, and executes the audit programme for the Conformity Assessment Programmes

  • Develops and executes audit schedule
  • Develops and maintains databases for the tracking of scheduled audits
  • Confirms the availability of auditors and technical experts assigned based on their experiences and qualifications
  • Prepares and dispatches confirmation letters to clients with relevant documentation
  • Confirms mutual audit dates with clients and auditors
  • Generates and maintains records documenting audit scheduling, including confirmation letters for scheduled audits, auditor assignment forms, auditors and technical experts statement of availability and scheduling forms
  • Prepares reports on the scheduling process quarterly.
  • Acts as a liaison between the client, auditors, technical experts and Training Coordinator, QI
  • Coordinates the post-audit activities relating to the submission of audit packages for review, and confirmation of auditing activities and its completeness.
  • Facilitates the receipt, review, collation, verification and submission of audit packages to the Review Committee members.
  • Tracks targets related to audit package turn-around time and certificate processing.
  • Manages the activities of the issuance of Certificates, which includes re-certifications as well as re-issued certificates
  • Ensures that all qualified QI's clientele receive certificates within the required target date.
  • Oversees the accurate reporting of current certificates
  • Generates and maintains records documenting audit packages and certificate issuance as required by the process. 

Develops, implements and maintains a customer service management programme in ensuring achievement of QI's customer service standard

  • Manages customer complaints & customer queries
  • Logs all incoming and outgoing customer communications, noting the actions taken to resolve problems/situations/requests
  • Communicates with Clients and may conduct formal Customer Satisfaction Surveys for the purpose of identifying problem areas and resolving problem(s) with internal and external clients)
  • Maintains client relations
  • Recommends and implements changes in the customer service programme, to improve customer service, and or reduce operating costs.
  • Provides direct feedback to the Training Coordinator as to the status of the customer service programme. Reports on customer service programme on a quarterly basis. 

Conduct audits of the QI clients in a competent, confident, timely and impartial manner by:

  • Conduct audits (Lead Auditor or Auditor)
  • Conducts along with the Auditor and Technical Expert (if applicable) the review of relevant or applicable management systems documentation and the determination of their adequacies.
  • Prepares off-site for on-site audit activities (application review, audit plans preparation, assignment of work to the audit team and preparation of working documents)
  • Conducts on-site visits as outlined in the requirements of applicable standards (ISO 19011/national standards) and the relevant procedures.
  • Communicates with the client and audit team on any issue observed or which may have arisen during the audit.
  • Conducts formal opening and closing meetings
  • Collects and verifies information as applicable
  • Identifies, classifying and recording findings based on objective evidence 

 

Related Duties and Responsibilities

  • Develops and maintains databases to enhance efficient monitoring of certification activities
  • Assists with the development of the QI's annual objectives, work plan and budget
  • Represents the Ql at meetings and conferences as required
  • Prepares and presents information at training seminars and workshops both internally and externally
  • Develops, recommends and implements new or revised procedures to support the certification process
  • Any other related duties as may be assigned by the supervisor/manager from time to time. 

 

Minimum Educational Requirements

  • Bachelor's Degree in Natural Sciences from an accredited institution
  • Training in Auditing of Quality Management Systems (HACCP, ISO 9000, 22000 etc.)
  • Lead Auditor training would be an asset
  • Computer literacy in Microsoft Office Suite 

 

Experience

  • Two (2) years work of experience in a similar position or related field.

  • Comprehensive knowledge of food processing techniques
  • Comprehensive knowledge of quality management systems such as ISO 90001: 2015
  • Working knowledge of the auditing of quality management systems
  • Excellent interpersonal, written and oral communication skills

Physical Demand:

  • Traveling island-wide to conduct audits, assessments, etc.
  • Traveling overseas to attend meetings, seminars, etc.
  • Sometimes extended working hours
  • Long hours to complete tasks/projects may be necessary 

 

Mental Demand:

  • High level of concentration needed for extensive reading (quality manuals, reports, Regulations, standards, etc.)
  • Prioritizing and executing activities
  • Identifying and analyzing problems associated with process controls in factories
