Under the direction of the Senior Medical Officer, HIV/STI/TB Unit, the incumbent is responsible to provide logistic and administrative support to the National HIV/STI/TB Programme.

The officer will be required to operate the assigned vehicle, and perform day-to-day activities and routine operations in compliance with the Programme’s procedures.

 

KEY OUTPUTS

  1. Successful delivery of materials, personnel, and documents both internally and externally
  2. Daily administrative activities completed as agreed
  3. Quarterly servicing of water dispensers completed
  4. Vehicle daily assignment log books completed
  5. Daily Vehicle Inspection check form completed
  6. Assigned vehicle maintained, cleaned and sanitized

 

KEY RESPONSIBILITY AREA

  1. Drive and operate the HSTU assigned motor vehicle as per operations manuals and GOJ Comprehensive Motor Vehicle Policy.
  2. Complete and maintain paper and electronic file of daily assignment log book.
  3. Monitors and maintains the Administration log books.
  4. Makes copies of correspondences as required.
  5. Executes daily administrative functions as assigned.
  6. Follows up on correspondences and assignments issued by the supervisor.
  7. Maintains adequate stock of meeting supplies to ensure the efficient operation of activities.
  8. Perform routine preventative maintenance checks and minor repairs to the HSTU assigned motor vehicle and complete the requisite forms.
  9. Perform other corrective maintenance procedures as directed by the HSTU/Transport Unit.
  10. Monitors the vehicle maintenance service schedule and notify the HSTU/Transport Unit to ensure that the motor vehicle receives timely servicing.
  11. Monitors the fuel consumption charges of the assigned vehicle and submit same to the HSTU on a monthly basis.
  12. Report and document all accidents and vehicle malfunctions to ensure timely execution of corrective actions as per GOJ Accident Procedure.
  13. Observes defensive driving techniques and principles at all times.
  14. Ensures that the assigned gas cards are utilized in strict accordance with stipulated procedures.
  15. Prepares monthly, quarterly and interim reports as required.
  16. Any other related duties assigned.

  1. Goods and correspondences received/delivered on time and vehicle returned to base.
  2. Log books/forms completed on-time and accurately.
  3. Vehicle defects and accidents reported on time.
  4. High compliance with vehicle operations and maintenance procedures.
  5. Administration activities completed with a high level of accuracy.
  6. Adequate stock of meeting supplies maintained.
  7. Work carried out is of a high standard and organizational principles are adhered to.
  8. Confidentiality is maintained in the execution of duties.

 

Required Competencies

  • Valid General Divers License rated OPEN.
  • Ability to obtain and maintain requisite Certification from the Island Traffic Authority
  • Demonstrated ability to explain, apply and monitor such operations and maintenance requirements.
  • Good oral and written communication skills.
  • Strong team player with excellent interpersonal skills.
  • Knowledge of the Jamaican Road Code and Defensive Driving techniques.
  • Ability to use software applications such as Word, Excel, PowerPoint.
  • Ethical and have the ability to work effectively in a highly confidential environment.

 

Minimum Required Education and Experience

  1. Diploma in Business Administration, Administration Management, Supplies Management, Management Studies, General Studies, Social Sciences or equivalent
  2. Open General Drivers License (Jamaican) and at least three (3) years driving experience.
  3. At least three (3) years working experience at a reputable company in the capacity related to vehicle and equipment maintenance and administration.

  • Exposure to highly confidential and sensitive information
  • Required to work beyond normal working hours and days from time to time to meet deadlines.
