Reporting to the Manager, Contracts & Office Services. the incumbent has the responsibility to ensure that all goods and services are procured on time at the best value for money to meet the needs of the Agency.

 

MAIN RESPONSIBILITIES

  • Liaise with Managers to obtain specification for all purchases.
  • Dispatch purchase orders to respective suppliers and process invoices for payment in accordance with the Agency's policies and procedures.
  • Record all goods purchased for master inventory record.
  • Identify high value purchases and refer to Contracts and Office Services Manager/Board of Survey.
  • Maintain up-to-date service records for all motor vehicles.
  • Schedule drivers activities to meet Agency requirements.
  • Issue advance cards to driver and maintain a record of same.
  • Obtain suppliers quotes and maintain schedules of suppliers quotes and prices.
  • Maintain record of supplier evaluation based on observations and feedback on performance of goods and services procured.
  • Direct and supervise the activities of the Inventory Clerks and Maintenance Officers to meet agreed performance targets and criteria.
  • Ensure that all repairs to the properly are effected in a timely manner.
  • Perform other related duties as assigned from time to time by the Contracts and Office Services Manager. 

 

QUALIFICATION AND EXPERIENCE

  • BSc. in Business Administration/Management Studies or equivalent qualification/training.
  • Certificate in Supervisory Management/equivalent
  • Training in Supplies Management (an asset)
  • Minimum of two (2) year's related work experience 

 

SKILLS AND COMPETENCIES

  • Excellent supervisory skills.
  • Knowledge of purchasing and supplying principles and procedures.
  • Good planning and organising skills.
  • Working knowledge of relevant computer applications, including inventory and spreadsheet packages.
  • Good communication skills.
  • Good negotiating skills.
  • Detail conscious
