Reporting to the Manager, Administration & Facilities Management, the Receptionist is responsible for creating and sustaining a welcoming and professional atmosphere, managing visitors, clients, telephone calls, and messages.

 

Principal Responsibilities

  • Operates telephone switchboard to answer, screens calls and takes messages.
  • Provides information regarding the organisation to clients and the general public.
  • Greets and screens visitors and clients, determines nature and purpose of visit, and directs or escorts them to specific destinations.
  • Logs all visitors to the Corporate Office and ensures that visitors are appropriately identified and issues visitors' badges.
  • Collects, sorts, distributes and prepares mail, cheques and courier deliveries ensuring that they are appropriately signed for and documented.
  • Attends to and resolves complaints from clients and the public.
  • Institutes the 'Plan, Do, Check, Act' (PDCA) cycle in the completion of tasks, In accordance with 150 9001:2015. 
  • Supervises ancillary staff to ensure that the required functions of cleaning and maintaining the facilities and the grounds as well as assisting in the set-up of training rooms and refreshments for workshops are carried out accordingly. 

 

Qualifications, Experience and Key Competencies

  • Five (5) CXC/CSEC subjects including English Language
  • Specialized training in Customer Service
  • One year's experience in switchboard operating
  • Two years' experience as a Receptionist in a service environment
  • Excellent written and oral communication skills
