To provide secretarial support.

 

Responsibilities include, but not limited to:

  • Preparing accurately typed reports, letters and other correspondence from manuscript;
  • Assisting the department with office management practices;
  • Maintaining an efficient filing system for correspondence and files;
  • Providing general information to internal and external customers/clients;
  • Dealing promptly with routine correspondence;
  • Screening telephone calls and visitors;
  • Dispatching mail, sending fax and emails, scanning, and photocopying documents;
  • Maintaining Case Management Log and Database;
  • Taking minutes, dictation and scheduling appointments for meetings;
  • Assisting in monitoring supplies inventory.

 

Minimum Required Qualifications and Experience

  • Diploma in Secretarial Studies; and
  • Certificate in Administrative Management Level 2 (MIND); and
  • Four (4) CXC/GCE including English Language.

 

Required Knowledge and Skills

  • Excellent communication skills (both written and oral);
  • Good customer service and interpersonal skills;
  • Good time management skills;
  • Proficiency in relevant computer applications;
  • Ability to work in teams.
