JN Bank Limited is seeking to recruit a dynamic, suitably qualified, and experienced individual to join our Corporate Integrity Unit as an Administrative Assistant . The successful candidate will provide critical administrative and operational support to the Unit, ensuring efficient coordination of records, reporting, and executive support functions while maintaining the highest standards of confidentiality and professionalism.

KEY RESPONSIBILITIES

Records Management & Document Control
• Manage incoming and outgoing correspondence, ensuring timely routing, dispatch, and filing
• Maintain investigative records, evidence logs, and document registers
• Track and log counterfeit notes and other sensitive materials
• Ensure proper organization, storage, and retrieval of physical and electronic files
• Coordinate transfer of records in line with established procedures
Reporting & Administrative Support
• Prepare and submit monthly and ad hoc reports for management and regulatory bodies
• Compile, review, and maintain supporting documentation for all reports
• Respond to reporting requests and support regulatory submissions within required timelines
Calendar & Meeting Coordination
• Manage the calendar of the Head, Corporate Integrity Unit
• Schedule meetings, interviews, and appointments, ensuring no conflicts
• Coordinate meeting logistics and prepare/distribute minutes and notes
General Administrative Support
• Provide administrative assistance across the Unit, including document preparation
• Track attendance, leave records, and routine office requirements
• Monitor and replenish office supplies
• Support expense tracking and documentation processes
Stakeholder & Front Office Support
• Receive and assist visitors and stakeholders in a professional and courteous manner
• Manage receipt, verification, and routing of packages and documents
• Support meetings and stakeholder engagements as required
Professional Development & Compliance
• Participate in ongoing professional development aligned with performance plans
• Stay updated on policies, procedures, and regulatory requirements
• Support audit readiness and maintain compliance documentation
REQUIRED QUALIFICATIONS & EXPERIENCE
• Diploma or Bachelor’s degree in Business Administration, Office Management, or a related field
• Minimum of two (2) years’ experience in an administrative or operational support role
• Proven experience in records management, reporting, and executive support
• Strong proficiency in Microsoft Office Suite
• Experience working in a confidential, fast-paced environment
